Outlook 2019/2021 & 365: How to Access Public Folder Inboxes and Calendars

Overview

The instructions below can be followed to be able to view and access a public folder inbox or calendar in Outlook on Windows or macOS, or through Outlook Web Access on a computer. Please keep in mind that if permissions have just been granted to an inbox or calendar, there may be a delay before you will be able to access the resource.

If you were just given access to a public folder, you must restart your computer for the permissions to take affect.

Older versions of Outlook (2019/2021, etc):

Click on the ellipsis icon at the bottom of the navigation section in Outlook. Select Folders.
Scroll to the bottom of the navigation pane in outlook and you will see a section for "Public Folders". Click on the drop down arrows until you locate the folder that you are trying to access. It will usually be under Public Folders > Department Name > Inbox or Calendar.

Outlook 365:

Click "More Apps" in the left-hand navigation bar
Click "Folders"
The "Folders" icon will now appear in the navigation bar, scroll to the bottom to find Public Folders.
(Optional): To keep the "Folders" folder visible, right-click the "Folders" icon in the navigation bar and choose "Pin".
Click on the drop down arrows until you locate the folder that you are trying to access. It will usually be under Public Folders > Department Name > Inbox or Calendar.

macOSShow

NOTE: Public Folders are not currently available in New Outlook on macOS. If you have switched Outlook to the New Outlook view, you will need to switch back to Legacy Outlook before you can access public folders.

In Outlook, click on the Tools tab in the ribbon.
Click on Public Folders.
Navigate to the public folder that you want access to and select it and then click on Subscribe. If your folder has any subfolders that you want access to , you will have to subscribe to each of them individually.
You will now be able to access the inbox or calendars under Subscribed Public Folders in the Mail or Calendar sections in Outlook.

Outlook Web AccessShow

These instructions should be followed on a computer. Outlook Web Access when viewed on a mobile device will not give the same options.

Log in to Outlook on the web: http://outlook.office365.com/
Right-click on Folders and select Add public folder to favorites.
Select the folder or calendar that you want to add, and click Add Public Folder.
If you added an inbox, you can see it now under Favorites. If you added a calendar, you can view it under Other Calendars in the calendar view.
