How to Configure Your Email Account on Your Devices (Faculty/Staff)

Overview

Faculty and Staff can add their University of Richmond O365 account to Outlook or the built-in Mail app on a variety of different devices. Instructions below will walk you through how to add the email account depending on the device and app of your choosing.

NOTICE: In order to protect your personal information and improve system security, University of Richmond has implemented Multi-Factor authentication (MFA) using Duo on University email accounts for all active students, faculty, and staff.

Outlook for WindowsShow

Launch Outlook and select to add an email account.
Enter your full name, email address, and network password. Click Next.
A Microsoft sign in window will appear prompting for the password again. Enter your network password and then click Sign In.
The add account window will finish adding your email account and you will receive a notification that the account was successfully added to Outlook. Click Finish.
Outlook will open and start to sync the email.

Mail App on WindowsShow

In the Add an Account window, select Office 365.
In the field for Email Address, enter your @richmond.edu email address and then click Next.
If prompted to select the account to use, select the Work or School Account.
When prompted for the password, enter your Network password.
You will receive a message that the account was successfully set up. Click Done.

Outlook for MacShow

Go to Outlook -> Preferences > Accounts. (Newer versions this is Outlook -> Settings -> Accounts)
Click on "+" and select New Account.
Enter your richmond.edu email address and click Continue.
A Microsoft sign in window will appear. Enter your network password and then click Sign In.
You will get a notification that the account has been added. Click Done.
Outlook will start to sync the email account.

Apple MailShow

Open System Preferences and select Internet Accounts.
Click on the "+" to add a new accounts, and select Exchange as the account type.
Enter your Name and @richmond.edu email address. Click Sign In.
When prompted with "Sign in to your Exchange account using Microsoft?", click Sign In.
At the Microsoft sign in window, enter your Network Password. Click Sign In.
Select the apps that you want to use with your @richmond.edu account and click Done.
When you launch the Mail app, your email will start to sync.

iOS (iPhone, iPad) Mail AppShow

Note: The instructions below may vary slightly in Step 1 depending on what version of iOS you are running.

Navigate to Settings > Mail > Accounts. (iOS 18: Settings -> Apps -> Mail -> Accounts)
Tap Add Account.
Select Exchange.
Enter your full email address and a description if needed. Tap Next.
You will be prompted to sign in to your 'richmond.edu' Exchange account using Microsoft. Tap Sign In.
A Microsoft login page should appear. Enter your network password and tap Sign In.
You will be returned to the email settings. Toggle on the apps that you want to sync with the Exchange account and then click Save.

Outlook for AndroidShow

Download the Microsoft Outlook app from the Google Play Store.
Open the Microsoft Outlook app and enter your richmond.edu address and click Add Account. If you already have a different email account configured in Outlook, you can add a second account under the Settings.
Enter your richmond.edu email address in the 'Email or Phone' field and click Next.
At the University sign in screen, enter your NetID and Network Password and click Login.
Accept any prompts for permission you may receive.
Your email account will then be added to Outlook on your Android device.

Outlook for iOS (iPhone/iPad)Show

Download the Microsoft Outlook app from the App Store.
Open the Microsoft Outlook app and enter your richmond.edu address and click Add Account. If you already have a different email account configured in Outlook, you can add a second account under the Settings.
Enter your richmond.edu email address in the 'Email or Phone' field and click Next.
At the University sign in screen, enter your NetID and Network Password and click Login.
Accept any prompts for permission you may receive.
Your email account will then be added to Outlook on your Apple device.

Android MailShow

Please keep in mind that the appearance of these steps may be different based on the device that you are using, however the general steps should be similar.

Navigate to Settings > Accounts.
Select Add Account.
For the account type, select either Microsoft Exchange, Exchange Activesync, or Corporate.
Enter your full email address and network password. Tap Next.
If the configuration requires a manual setup, enter the information as shown below:
- Email Address: your richmond.edu address
- Domain\Username: your richmond.edu address
- Password: your network password
- Server: outlook.office365.com
- Use secure connection (SSL): yes
When prompted for Remote Administration, tap Allow.
When prompted for changing account settings, toggle on/off the items that you would like to sync and click Next.
When prompted for Phone Administrator for Exchange, tap Activate.
Enter a name for how you want the account to appear in your email app, and then tap Done.
The email may take a few minutes to start syncing.

Manual Mail Settings Show

The following settings can be used if you are prompted to set up your O365 account manually when adding the email account to a mobile device or computer.

Account Type: Exchange (Corporate or Exchange ActiveSync may be options depending on your device)
Address: Your University of Richmond e-mail address (i.e. netID@richmond.edu)
Domain\User Name: Your University of Richmond e-mail address (i.e. netID@richmond.edu)
Password: Your network password.
Exchange Server: outlook.office365.com
SSL: ON
