How to Set an External Password in Box

Overview

The "Box external password" is a different password from your UR NetID's passphrase and will allow "external access" to your Box account for those third-party apps, such as FTP. Since your UR Box account is used for University business, some of which may contain FERPA-protected or other sensitive information, it is required that you follow the same level of security when creating and maintaining your UR Box external password. Please use the Password Policy page to guide you in creating a strong password.

How to Set an External Password in Box

  1. Visit http://box.richmond.edu (Google Chrome is recommended if you will be using your web browser to upload files to your account, but it's fine to use another browser for these steps).
  2. Login with your UR NetID and network password.
  3. Click on your picture/icon that is in the window's upper, right-hand corner.
  4. Click Account Settings.
  5. Under the main 'Account' section, scroll to the section for Authentication, and create an external password. The system will prevent you from using a simple password, but it will not force you to create as strong of a password as is required by UR. Please create and enter a unique 16-character passphrase, adhering to the UR data security policy since the accessed content may be sensitive and/or FERPA-protected (see above).
  6. When finished, be sure to click Save.

Be sure to keep your password stored in a secure location. If you lose your password, you can always reset it by using the above steps.

Maintaining an External Password in Box

As with your UR NetID's passphrase, you need to change this Box external password every year. Since there is no reminder through the Box technology, it is suggested that you set a one-year reminder in the electronic calendar tool of your choice.
