This guide provides step-by-step instructions for employees to view, request, cancel, and edit absences or time off requests using Workday.

In Workday, absence and time-off are broad terms used to cover any time away from work during your normal schedule such as vacation, sick, jury duty, bereavement, etc. Leave and leave-of-absence are terms used to cover extended time away from work, e.g., military leave, family leave (FMLA), etc.

View your Absence (Time off) Balances.
You can view your absence balances as of a specific date.
- From the workday homepage, select the navigation Menu at the top left corner of the toolbar.
- Select Absence.
- Under View, select Absence Balance.
- Select As Of date.
- Select OK.
- NOTE: As you view your balances, remember that the values displayed are based on the Balance as of Date entered. For monthly employees, please note that the balance is now listed in hours instead of days.
- NOTE: To see more detail, click a blue text value in a year-to-date column.

Request Absence (Time Off)
- From the workday homepage, select the navigation Menu at the top left corner of the toolbar.
- Select Request Absence. For instructions on adding apps to the Workday Menu, click here.
- Select the day(s) on the calendar you want to take off from work. In this example, two days are selected as indicated by the black circles.
- Click Continue.

- NOTE: To deselect a day, click the day again.
- NOTE: You can also select a range of dates to take off, by clicking Date Range.
- Click the menu icon to select a Type of Absence. For this example, Vacation is selected. NOTE: Faculty have additional absence/leave options for Sabbatical.
- Enter the hours that you plan to take off per day.
- Hours Daily field is pre-populated edit only if necessary.
- To edit the hours of individual days click Edit Individual Days.
- Optional: Enter a Comment
- To upload supporting documentation, e.g., for Jury Duty, drag and Drop files here or click Select files.
- Select Submit Request.

- NOTE: Your absence request is sent to your manager for review and approval.
Cancel an Unapproved Absence (Time Off) Request
An unapproved absence request cannot be edited. Instead, cancel the unapproved absence request and submit a new one.
- From the workday homepage, select the navigation Menu at the top left corner of the toolbar.
- Select Manage Absence.
- An unapproved absence is displayed on the absence calendar in grey, and an approved absence is displayed in green.
- To delete an unapproved absence, select it in the calendar and click Cancel Absence.
- Type in a Comment to provide additional information/context regarding the cancellation and click OK.
Edit an Approved Absence (Time Off) Request.
- From the workday homepage, select the navigation Menu at the top left corner of the toolbar.
- Select Manage Absence.
- An unapproved absence is displayed on the absence calendar in grey, and an approved absence is displayed in green.
- Click the approved absence in the calendar and select Edit.
- Make necessary edits.
- Enter your comment, as needed.
- To attach supporting documentation, drag and Drop files here or click Select files.
- Click Submit Request.
- NOTE: The absence correction is sent for review and approval.
