Overview
The User Data Retention Policy outlines how long Information Services will retain User Data in Cloud Applications such as Box, Google Drive / Gmail (Google Account), and Exchange (Outlook), Hardware data retention pertains to devices turned into the HelpDesk, to include both Primary and Secondary devices. Information Services will attempt to restore access to Data if requested before Data is removed, if a Cloud Application Data request is put in 90 days after account expiration User Data will not be recovered, the same policy applies to Hardware Devices if a request is not submitted before the stated Period.

Application Data Retention
Box: 90 Days after the User Account expires, User Box Data is removed. (Users will retain Box access 90 days after Graduating, users will receive email notices about account expiration before their account is removed.)
Google Account: 90 days after the User Account expires if the User loses their Google Account (Withdrawn Students do not retain their Google Account | Alumni, Retires, Enrolled Students and OSHER Students will retain their Google Account regardless of account status.)
Exchange (Outlook): 90 Days after User Account expires, Users Mailbox is removed. (Faculty have 60 after leaving the University to access their Outlook before expiration. Staff have 1 day after leaving the University.)

Hardware Data Retention after the device is turned into the Help Desk.
All PC and Mac user computers returned to the Help Desk are kept for 1 week before all data is permanently removed from the hard drive
All PC and Mac public use computers have the hard drive completely wiped and re imaged within 1-3 days of being returned to the Help Desk.
