Manage Candidate Through Recruitment - Manager

This guide provides instructions for hiring managers on how to manage candidates through the recruitment process.

Once a job requisition request is approved, the talent acquisition specialist for student employment will post the position. Hiring managers are responsible for reviewing applications, selecting candidates for interviews, and updating recruitment statuses (e.g., not interested) during the recruitment process.

Review Candidate and Move Forward (or Disposition)

  1. In the Workday Menu, click the Recruiting Application to view and manage candidates for your job requisitions.
  2. To view and manage candidates for a specific job requisition, go to the View section, click Job Requisition, and select the requisition you want to view. Click OK.
    • NOTE: To view all candidates across all job requisitions, under the ‘Actions’ section, click My Candidates.
  3. The Candidate Pipeline, under the Overview tab provides a summary of active candidates and their statuses. When candidates apply for a job, they are automatically placed in the In Review stage. Hiring Managers or Recruiters can move candidates through the recruiting stages (e.g. Not Interested, Pending/Maybe, Interview, Reference Check, Offer Letter, Ready for Hire).
  4. To start managing candidates, click on Review Candidates or select an active stage in the blue funnel.
    • NOTE: Use the tabs at the top of the page to view a list of candidates, job requisition details, organizations, and a link to the job posting(s).
  5. To view a candidate’s details and move them to another recruitment stage, click the candidate’s name in blue to display the candidate profile.
    • NOTE: You can click the checkbox of multiple candidates to do a mass actions forward or disposition.
  6. Review the application details and use the tabs on the left side in dark blue to view an overview of the candidate’s background, access their resume, view completed questionnaire results, and more.
  7. Click the Move Forward button and select the appropriate next step for the candidate in the recruitment process. For this example, Move Forward > Campus Interview is selected.
    • NOTE: A pop-up notification will appear that the candidate has been moved forward.
    • NOTE: Schedule interviews by emailing or calling the candidate using the information they provided.

Complete My Task/Inbox Items for Candidate Recruitment Status

  1. In the workday homepage, select inbox icon in the upper right corner.
  2. The Hiring Manger will receive a My Task inbox notification consisting of the candidate’s updated status. For this example, the item is Campus Interview.
  3. The Hiring Manager completes the recruiting step (e.g., interview on campus) and decides whether to move the candidate forward or select a different disposition, such as “Interviewed – Not Interested.”
  4. Once a Hiring Manager is ready to hire, they must check the candidate’s two professional references by selecting Move Forward > Check References.
  5. Once the reference check is successfully completed, move the candidate forward to prepare the offer. Click Offer Letter.
    • NOTE: A pop-up notification will prompt the Recruiter to prepare the offer letter. Make sure to coordinate with your Recruiter on the offer letter details. For external candidates, the Recruiter will extend the offer and initiate a background check. The Candidate will receive the offer in their Workday Candidate home page to review and accept.
