Box AI is a platform-neutral set of capabilities built into Box’s intelligent and secure platform that allows users to extract insights from their Box content. Box provides a 2-minute introductory video as well as online support for Box AI.
Box AI works on individual Box Notes as well as documents (text, spreadsheets, presentations) stored in Box, but works differently depending on the type of document. For a Box Note, Box AI will help you generate new text (e.g., a meeting agenda, an email template, a project charter, etc.). For word processing documents, spreadsheets, presentations, etc., Box AI can be used to answer questions about the content of the document. If you wish to query multiple documents at the same time with Box AI, your documents must be accessible within a Box Hub.
To get started, open a document in Box and click the "Box AI" button at top of the window. This opens a dialogue box that allows you to ask questions about the content of that document. For example, when working on a document in Box, you can ask Box AI to generate a draft outline, a summary, key points, a central theme, a meeting agenda template, an email announcement, etc.
Box AI works best for content generation and refinement. When you ask Box AI to generate text, be as specific as possible and use parameters, such as asking for numbered lists, brevity, and central themes or key points. Following are examples of how to improve Box AI queries:
- List some ideas on [product]
- Better: Create a numbered list of ideas for advertising [product]
- What’s the point of this document?
- Better: Briefly and succinctly outline only the most important points of this document with a list
- Draft an email on [topic]
- Better: Draft an outline for an email to my team regarding [topic]
- Generate a job description template
- Better: Generate a template for a software development job posting
You can refine your response if it’s not exactly what you’re looking for, as it may take a few iterations to get the results you want. To assist, Box offers a list of best practices to maximize the value of your content with Box AI.
There are some known limitations with the initial release of Box AI, but Box is continually making improvements. Each Box AI question is currently limited to 1000 characters and non-English languages may produce lower quality results. For large documents, Box AI is currently only able to process the first 1MB of text. If you are trying to query a Box Hub that has more than 20,000 items, Box AI may be unable to process it. Additionally, questions on the following may return mixed or inaccurate information:
- Calculations, table structures and numbers
- Counting words or phrases
- Images, videos, charts, graphs, etc.
Box AI honors existing Box permissions and only allows access to documents that a user owns or has already been given access. The questions asked of and the responses generated by Box AI stay within the Box AI service and are secure and private.
