This article provides ten tips and tricks for navigating Workday.
Details / Instructions
- Expand “More Categories” in Search to See Hidden Results
- If you don’t see what you're looking for, scroll down to the bottom of the search results and click “More Categories”.
- This expands the results beyond default categories like tasks and reports—to include people, positions, transactions, and organizations.
- If there is a category you use frequently, you can hit “Configure Search” to add additional categories to appear on your default search.
- Filter by Object Type in Results
- After expanding “More Categories,” click the tabs across the top (e.g., Tasks, Reports, People).
- This filters your results by content type for faster navigation.
- Favorite What You Use Often
- Click the star icon to favorite reports, tasks, people, and dashboards
- Favorited items appear under your Workday “Favorites” on the homepage.
- Leverage the “My Reports” & “My Tasks” Dashboards
- Admins and managers should pin relevant dashboards (like “My Procurement Tasks” or “My Team”) to reduce navigation time.
- Search “UR” to see the custom reports you have access to.
- Use the “Awaiting Action” Report
- Great for managers and finance roles.
- Shows where things are stuck and who needs to take action—reduces email chases.
- Use In-Box Filtering
- Sort by item type or due date.
- Click the gear icon to organize by priority or archive completed tasks.
- Copy from a Previous Transaction
- Requisitions, job changes, and expense reports can often be duplicated. Look for “Copy” or “Create from Existing.”
- Use Related Actions (Three Dots)
- Hover over a person, position, or object and click the three dots.
- Shortcut to initiate actions without going back to the homepage.
- View Process History
- Use it to troubleshoot. Click into any object (e.g., a requisition or expense report) > “Process” tab. Shows who approved what and when.
- You can also go to your archives (e.g., My tasks>Archive) to see the process history of your transactions.
