To begin using Zoom AI Companion, verify your version of Zoom. Zoom version 5.16.0 (or higher) is required. The latest version of the Zoom app can be downloaded here.
Note: Zoom AI Companion is designed to assist with meeting transcriptions and summaries; however, users should be aware that the information provided may contain inaccuracies or misrepresentations. It is recommended not to rely solely on this AI-generated content for critical decisions or actions. Additionally, please note that all AI-generated meeting summaries will be automatically deleted after 30 days. Users are encouraged to verify any important details through additional sources.
Details / Instructions
To Enable/Disable the Meeting Summary with AI Companion on your Zoom Account:
- Go to https://urichmond.zoom.us and select Sign In. Sign into the Zoom web portal using your UR ID and password.
- On the left, Select Settings.
- Select the AI Companion tab.
- Enable/disable Allow users to ask AI Companion questions about the meeting
- Enable/disable Automatically allow access when the meeting starts and decide with whom you want to Share access:
- All participants and invitees
- All participants only from when they join
- Participants and invitees in our organization
- Participants in our organization only from when they join
- Only hosts
- Select the Meeting Summary with AI Companion toggle to enable or disable it.
- (Optional) Select the checkbox next to Turn on meeting summary automatically when meetings start to have meeting summary generation automatically start for all meetings you host.
- (Optional) Select the checkbox for Send an email notification when sharing with users and choose between:
- Include summary text in the email
- Don’t include the summary text in the email
- If you’ve enabled Meeting summaries, choose Automatically share summary with:
- Only me (meeting host), you can select this option to edit a summary before sharing it with other users
- Only meeting host, co-hosts, and alternative hosts
- Only me (meeting host) and meeting invitees in our organization
- All meeting invitees including those outside of our organization
- Enable/Disable Auto-delete meeting summaries and choose a time range for auto-deletion. Please note that the maximum time is 120 days before the summary is placed in the trash.
- Enable/disable Use screen share content with OCR. Use this option to generate more accurate and relevant AI Companion results. OCR converts images of text screen shared during a meeting into machine-readable text.
- Enable/disable Use meeting chat messages to allow the AI to include in-meeting chats for additional context. This choice excludes direct (private) messages.
- Under Whiteboard, enable/disable Whiteboard content generation with AI Companion.
Start Meeting Summary as the Host
- Start a meeting from the Zoom desktop client after you log in with your UR ID and password.
- On the in-meeting controls, select the AI Companion button. Select Start Summary to begin the summary. The meeting summary will begin to be generated, and participants will see a notification informing them that Meeting Summary is active.
- Allow Ask meeting questions to allow participants to ask questions of the AI companion.
- Select Turn on all to turn both above options on simultaneously
- Select Stop Summary to finish generating the summary of the current meeting.
Once the meeting has ended, the meeting summary will be processed and sent out shortly for viewing.
